Quick Calendars with Numbers

Did you know that you can create a calendar for any month or year with a click of a button in Numbers? 

As a coach, I'm asked to balance a lot of long term tasks and keep track of meetings and projects that happen throughout the year. Whenever I’m starting a new longer term project, or planning the next quarter or semester, I like to look at how lessons or projects will line up on a calendar, particularly if they overlap or if I’m sharing tasks with others. I use Numbers to create and personalize a calendar for the months that I need for each project or term. 

Using the Calendar Template

Choose the Calendar Template in the Personal section in Numbers. This will give you a sheet with one month that’s populated, and one sheet with a blank month. To populate the monthly calendar with the correct month, select the cell with the month, and use the dropdown to change month. Select the cell with the year and toggle the stepper up or down to change the year. These actions will automatically change the dates in the monthly calendar, as well as the mini calendars that show the previous and next months. 

 💡 Pro Tip: I change the color of the months or terms to further differentiate my calendar. To change the text color, choose the cell you want to change, then in the Format menu, under the Cell tab, choose the text color you’d like. To change the fill color for the days, select the row, then in the Cell tab in the Format menu, choose Cell Fill and choose your color. 

Using a Numbers Calendar

You can add multiple months to a sheet by selecting all parts of the monthly calendar, then choosing “Paste Formulas” when pasting to another area on the sheet.

Finally, I add events or task items using text in the existing table, or write using the drawing tools.
