Are you looking for a simple yet powerful way to stay organized, track your classroom activities, and keep all your important information in one place? Look no further than the built-in Notes app on your iPad or iPhone! With its versatility and ease of use, Notes can be your go-to tool for managing everything from lesson plans to student progress. I've been wanting to dive deeper into Notes for a while, and thought I'd share some ideas for how teachers might find it useful!
Here are a few ways you can use the Notes app to keep your teaching life organized and effective.
Set Up Notes for Classroom Success
First things first: creating a structure for your Notes will help you stay organized all year long. The app allows you to create folders for different areas of your teaching responsibilities. Here’s a snapshot of how you might set it up:
• Main Folders: Divide your folders by your primary responsibilities—this could include “Lesson Planning,” “Student Progress,” “Parent Communication,” or “Professional Development.” Customize it to fit your needs!
• Subfolders and Notes: Within each folder, you can create notes for specific topics, classes, or students. Setting these up at the beginning of the year—or as you go—will help keep everything in one accessible place.
• Advanced feature: Tagging with Smart Folders: You can even create Smart Folders that automatically pull notes with certain tags together. As you add a tag to any new note, it will automatically get added to the Smart Folder as well!
For example, as an art teacher, I would sometimes categorize lessons by materials (marker, watercolor, paper mache) and other times by different elements of art I was teaching (line, shape, color). Sometimes there were specific artists that a lesson centered on, or other specific art content such as portraiture, landscapes, still life, etc. Keeping track could be daunting! With tagging and smart folders, I can simply add multiple hashtags to a lesson, like #watercolor, #portrait, etc., and the smart folders that I've set up to group all of my #watercolor lessons will automatically link to that content for me. That way, the next time I am looking for some watercolor inspiration, I can simply check that folder and find any and all lessons where watercolor was utilized! Organized, fast, and easy!
Organizing Lesson Plans and Daily Notes
The Notes app is perfect for housing lesson plans. Create a note for each week or subject, and break down your daily activities, objectives, and materials. You can also insert links, add images, or sketch diagrams right within your notes—making it easier to track everything you need to stay on top of your day-to-day teaching. Because it will be stored outside of your district's learning management system (LMS), you'll have a safe copy that will last through any future LMS shifts or changes.
Here’s an example:
• Weekly Plan: Use one note to outline your lessons for the week. Include goals, materials, and assignments.
• Class-Specific Notes: Keep a note for each class or subject where you track lesson highlights, key student questions, or things you want to revisit in future lessons.
Tracking Student Progress and Feedback
One of the most powerful ways to use the Notes app is to quickly jot down information on individual student progress. Here’s how:
• Create a Note for Each Student: In each note, jot down observations, challenges, strengths, and goals for that student. You can also include images of their work, screenshots of their progress in digital platforms, or links to resources that might help them.
• Document Parent Communication: Keep a running record of any communications with parents—email summaries, phone call notes, or meeting follow-ups. This can help you stay organized and informed when preparing for parent-teacher conferences.

Notes is such a useful app! I use it to collaborate with my personal devices and school devices. That way if I forget my computer at school, I can still add my plans and ideas to my notes.
